Cancellation Policy

  • Refunds will not be given if a vendor cancels with less than 1 weeks’ notice. 

  • In the event that we cancel the event, payments will be retained as priority credit towards future events

 

Extra Assistance 

  • Should you require extra assistance in an evacuation please let a member of staff know as soon as possible and we will endeavour to assist

  • Keep your phone with you throughout the event so you can call Hopkinson staff to your location for assistance by phoning 0115 837 1316

 

Food & Drink

  • Refreshments are available from Hops Bar & Coffee House or any adjacent businesses on Station Street. 

  • Additional food vendors may be present at this market. Any seating requested by food vendors will be granted subject to the organisers discretion and may be charged an additional pitch fee. It must not compete with existing Hops Bar & Coffee House seating, and market vendor customers must not use Hops Bar & Coffee House seating.

 

Toilets

  • Toilets are available on the first floor inside Hopkinson or at Nottingham Railway Station

  

Parking & Unloading

  • Set up is from 10am to open at 11am, take down is from 4pm

  • Vendors WILL be granted access to Station Street for loading so please ensure our events team have your vehicle registration make and model to allocate a temporary virtual permit

  • The access advice given by the council is as follows. Be aware that the google street view is quite outdated so be sure to follow the instructions: you will be added to the permitted vehicles list for the enforcement camera at the junction of Greyfriar Gate and Canal Street. This means you can turn left from Greyfriar Gate to Canal Street through the enforcement camera without receiving a fine. This will not be the case if you leave Canal Street heading towards the BBC roundabout on London Road, as you will be caught and fined by the enforcement camera at the junction of Canal Street and Middle Hill. Please exit Canal Street towards Castle Boulevard or Wilford Street.

  • Cars are permitted 5 minutes waiting between loads, vans 10 minutes 

  • When you arrive make contact with the duty manager / Liam Woodgates who will allocate your table / pitch

  • There is no on site parking so you will need to park long-stay elsewhere - please contact us if you require any advice on this

  • Should you need to leave during the event you must negotiate this with the duty manager who will support you in leaving in a safe and timely manner.

 

Setting up your pitch - tables, gazebos, seating, etc

  • Tables, gazebo cover, and festoon lighting will be provided in our NEW market location at the side of our building

  • You must bring a tablecloth and you may wish to bring your own battery power and/or lighting

  • Your stall must be set up to avoid trip & slip hazards

  • You must keep cash and other valuables out of sight

  • As above, if you are a food vendor and request additional seating this will be granted subject to the organisers discretion and may be charged an additional pitch fee. It must not compete with existing Hops Bar & Coffee House seating, and market vendor customers must not use Hops Bar & Coffee House seating.

  

Other Hazard Awareness

  • Please ensure you can manage to handle your own stock to your table.  The team will offer manual handling assistance as required if the team member is capable of doing so. Trolleys and cages may be available for loan, first come first served.

  • If you create/see a spill/trip hazard, please clean-up/secure the area as soon as possible or inform a member of Hopkinson staff

  • To minimise the risk of customer aggression please ensure that you keep to the high level of customer service that you wish to deliver for your business

  • Please take all your trade waste away with you

  • Make sure you are wearing appropriate footwear and weather protection, bring hydration and someone to cover you for breaks if possible, support other stallholders when they need breaks

  • Do not leave stock unattended at any time

  • Support your fellow stallholders in the event of any aggressive visitors and aim to de escalate the situation. Call Hopkinson staff on 0115 837 1316 or 999 to assist if necessary

  • Please remain vigilant of any hazards and notify the duty manager

 

Fire Safety

  • Do not block fire exits with your stock. If you are unsure where fire exits are ask Hopkinson Duty Manager

  • Do not block the centre of the street where possible so that emergency vehicles can maintain access

  • Please refrain from using any open flames at the market site

 

Smoking / Vaping

  • Please refrain from smoking/vaping at your stall to limit fire risk and be conscientious to other stallholders & customers

  • There is a smoking area at the rear of the Hopkinson building should you wish to use it

 

First Aid

  • Keep your mobile with you and in the event of serious illness dial 999

  • First aid boxes are available inside Hopkinson, ask the duty manager
